Shetland Wedding Hire by Semple Designs - Terms and Conditions of Hire
The terms and contract below will set an agreement between the Hire Provider and the Customer for the Hire of the equipment and services. This written contract is the full written intention for both parties and supersedes all other written/oral agreements between the Hire provider and the Customer.

The Customer
- The person, organisation or company booking the equipment for their event with the hire provider.
Hire Period
- Hire time is for 24hrs from time of delivery/installation is to begin.
If the full hire time is not used then this will not reduce the hire cost.
If the hire is required for an extended period beyond the initial 24 hour hire then this will need to be confirmed at the time of booking.
While out on hire and it is found the hired equipment is required for more time beyond the booked hire time, and then the provider must be contacted to agree the extended hire and suitable payment for the extended time required.
The customer may not hire out our items(s) to third parties.
The person booking the item(s) for hire must be the intended user.
Event Date, Time and Location
- At the time of booking the date, time and location must be confirmed. If no exact time is give at time of booking then an initial agreed time will be made. Time of install can be adjusted when agreed with the provider.
Event Bookings
1. All equipment remains at all times, the property of the provider.
2. When placing an order either verbally or by electronic communication it is deemed that the customer has read, understood and fully agreed and is bound to the providers terms and conditions of hire.
3. A booking will only be fully confirmed once a confirmed deposit (non-refundable) is received (deposits can vary, up/down depending on the Equipment Hired). The Customer will receive confirmation of deposit payment and booking details.
4. All hire equipment is for indoor use only unless discussed with the provider.
Payments
1. All equipment hire are subject to a deposit to fully confirm the booking.(Deposits are non-refundable)
2. The final balance will be payable in full 28 days prior to the event date.
3. When placing an order either verbally or by electronic communication it is deemed that the customer has read, understood and fully agreed and is bound to the providers terms and conditions of hire irrespective
4. A booking will only be fully confirmed once a deposit is received. The Customer will receive confirmation of deposit payment, final payment and booking details.
5. A 50% (less percentage if an offer is in place) non-refundable deposit of the total order amount must be paid to establish and secure the date/hire of item(s) required. The provider does not reserve or provisionally book dates without a deposit

Date Changes
1. Event date and time changes must be made in writing at least 28 days in advance of the event date and time. Any change of date and time is subject to hire availability. If the alternative date and time are not available, the hire will be cancelled - see cancellations for refund details.
2. If the new date is available, the provider will confirm the new event date and time. The customer will receive a new confirmation with final payment details.
Cancellations
1. Refunds for cancellations will be made less the deposit up to 6 months before the hire date.
2. There will be a 50% fee for any cancellations made 6 months prior to the hire date.
3. There will be a 75% fee for any cancellations made 3 months prior to the hire date.
4. There will be a 100% fee for any cancellations made 1 month prior to the hire date.
Event Location, Facilities, Installation and Conduct
1. A single location for the hire equipment to be installed will be agreed on arrival between the provider and the customer. Once the location is agreed and the equipment set-up, the location cannot be changed.
2. Illuminated letters will require to be located against or near to a wall, each letter requiring a suitable floor space.
3. The provider reserves the right to refuse full or partial delivery and set up of the equipment if the event site is deemed to be unsuitable or unsafe for operation (Health and Safety or risk assessment issue), or is the customer has failed to notify the provider of any delivery obstructions or obstacles such as stairs or excessive distance from providers vehicle to Equipment set-up location.
4. The Customer is responsible for ensuring that suitable security and crowd control measures are in place before during and after the hire period and idle times.
5. The Provide operates a zero tolerance policy regarding protection and safety of its reputation, it's Staff and equipment and reserves the right to cease operation if at any time the Provider feels that its unsafe or threatening from either the customer, venue provider's staff or guest’s conduct endangers the safety of the Provider, equipment or other guests.
ii. The guests use abusive threatening language toward the provider.
iii. There is a fire or other acts of god that endanger the safety of the provider and/or equipment.
6. The Customer must ensure the relevant venue has sufficient space and power is available.
7. Illuminated Letters once installed cannot be moved within the venue, any damage is the customers responsibility to make good.
8. For installation to be as smooth as possible, a venue contact name and number must be provided to the provider. This will allow the provider to arrange suitable entry and to check ahead that the venue will be open for installation and also for collection.
9. If there is no entry to the venue at the time of pick up and not after 1 hour then a suitable fee will be charged for waiting time. If entry is not gained on day of hire ends then an additional day of hire will be charged for each day until the hired equipment is picked up by the provider.
Damage or Theft to Equipment
1. The customer acknowledges that they will be fully responsible for any damage or loss to the Provider’s equipment through either misuse, damage, missing props or equipment by the Customer, its guest or event hosting personnel.
2. Certain hired equipment is handmade and is not designed for sitting or standing on.
3. The provider does not require a damage deposit. In the event of damage or breakages then the provider will contact the customer with photographic evidence and an itemised bill. The provider would require full payment of itemised bill within 7 days
4. At time of delivery and installation completed the customer will have time to inspect the hired equipment and a delivery/installation note will need to be signed by the customer or the person the carried out the inspection that all is ok, and that there was no damage or breakage at the time of installation was completed.
Indemnification
1. The Customer agrees to indemnify the Provider for any damage or theft of the Providers equipment whilst on hire and the equipment is on the event site/location.
2. The Provider accepts no liability for any damage or loss of personnel property and or any injury arising from the use of the hired equipment. If equipment is stolen then the customer is liable for the full replacement price of the stolen equipment.
3. If no equipment hire is provided, Providers maximum liability will be the return of all payments received from Customer.
4. The hire provider cannot accept responsibility for failure to attend an event which is due to severe weather, highway or road closure which is out of the hire provider’s control.
5. Illuminated letters and sign bulbs and lights are pre checked to make sure all bulbs are operational
6. The hire provider cannot accept responsibility for failure to provide services or equipment due to any incident or event out of the hire providers control.
7. the Provider holds a Public Liability Insurance and the customer can ask to see the certificate at any time.
Copyright
1. The customer and all their guests hereby give the Provider the right and permission to copyright and use any photos the provider takes of the hired equipment at the event. These pictures will only be used for advertising purposes.
